Mic Runner
The Mic Running role is an integral piece of the team for our events.

Not only do the attendees in the room need to hear what’s being said, but the audience joining via Zoom will only hear the questions being asked if a microphone is used. The event recording also requires the use of microphones.

We aim for at least two hand-held microphones in the room during the event, preferably with one located on each side of the room.

Here are a couple of key tips to make the role of a Mic Runner successful:

  • Please attend the pre-event briefing at 1:00 pm to meet the PDN Crew and run through any parts of the day and your role.  If you are a first-time volunteer/or an existing volunteer but first-time in this role, please attend a separate briefing at 12:45 pm.
  • Please wear the orange PDN Crew lanyard (handed out on the day) to identify you as a team member.

Where to Stand:

  • One person on each side of the room to avoid large delays in servicing the room.
  • Understand which area of the crowd you are monitoring, and how to move about the room to avoid the camera.
  • Sit or stand towards the rear of the room and face the audience so you can visibly see when someone raises their hand. Try to blend into the scene as much as possible (e.g., your back up against a wall). The Event Coordinator will let you know the best viewing position.
  • Attendees should all be seated during the event. If anyone is standing, please encourage them to sit in the seats provided, as they tend to start talking and distract the other attendees trying to hear the speaker. 
  • It’s easy to get distracted, but if we don’t notice a question and the speaker moves onto a new topic, or it takes us time to reach the raised hand, this causes delays to the overall event.

As soon as you see a raised hand:

  • Please make your way to the person as soon as possible – time is of the essence.
  • Raise your own hand to signify to the speaker that there is a question and use your other hand to point to where the question will be coming from.
  • Once the speaker is ready to take the question, un-mute the microphone and as you’re handing it to the attendee, ask them to “please stand-up to ask your question”.
  • Adjust and guide the attendee to speak closer to the microphone if they are not being heard.
  • Please be mindful of where you are standing when the question is being asked. If you can stand back slightly to avoid blocking people’s views that is ideal.

Once the question is finished:

Take the microphone back, mute the microphone and stand back to wait for the next question.

Housekeeping:

This one is more of a “housekeeping” item 😊 … if you need to use the bathroom during the event, please ask someone else to take your place who is knowledgeable of the mic running process.
