The Check-In Desk and RSVP/registration process is a vitally important part of our events.
This is one of the first experiences that they have with the PDN community and so we want to make sure that they feel welcome and that their experience is a positive one, especially if they have lost their tickets or not registered prior to attending (very common).
We aim for 2 x Check-In Desk attendees to ensure there are no bottlenecks in getting people into the Meetup room.

Here are a couple of key tips to make the Check-In Desk successful:
- Please attend the pre-event briefing at 1:00 pm to meet the PDN Crew and run through any parts of the day and your role. If you are a first-time volunteer/or an existing volunteer but first-time in this role, please attend a separate briefing at 12:45 pm.
- Please be ready and in the role/station by 1:30 pm.
- Please wear the orange PDN Crew lanyard (handed out on the day) to identify you as a team member.
Preparing the Tablets for Check-Ins:
- Turn on the 2 x Tablets & ensure they are fully charged and connected to the internet.
- Open the CodeREADr App on each Tablet
- Sign in using the following details (these should have been already pre-filled for you):
- Username: pdn@developernetwork.com.au
- Password: @Reception
- Select the database for the event location (Sydney / Melbourne / Brisbane / Adelaide)
- Press continue, and then you are now ready to ‘Tap to Scan’ the first ticket.
Scanning a QR Code:
- Tap the PDN logo to get the CodeREADr app ready to scan the QR code.
- Once you scan a ticket, the attendee details will appear, including what ticket type they have purchased, and if they are an Annual Member, etc (refer below as to why this is important).
Reviewing their Ticket:
- This is critically important to identify potential issues, act as a conversation starter and find opportunities to educate and inform our attendees. Examples include:
- If they are an Annual Member:
- Are they wearing their lanyard? - If not ask them to please bring for next month, then give them a manual name tag.
- Is their PDN Annual Membership about to expire? – Inform them that their renewal will automatically come out soon.
- If they have no “Attendance” stats:
- Ask them if it’s their first time attending and write up a name badge with a smiley face 😊 if it’s their first time.
- If they are a casual member:
- Ask them if they are aware of the benefits of being an Annual Member.
Submitting their Ticket:
- If they have any questions that you do not know the answer to, then type this into the comments section to submit with their ticket or write it on the PDN Meetup Attendee Registration Issues form and tell them that the office will call them during the week to follow up.
- Please remember to ensure you press the button to SUBMIT their Check-In, so they are checked in for this event. ***It is easy to get side-tracked chatting with the attendee, but it is very important to remember this final step***
Entering the Room:
- Once attendees are scanned in, please encourage them to enter the room and start mingling with the other attendees, Industry Experts and Real Deal presenters.
Troubleshooting:
- If an attendee forgets their mobile phone or doesn’t have access to show you their ticket, you can “look up” their details by typing their name manually into the CodeREADr App.
- Some users do not have “Images” turned on in their phone’s email application so the QR code will not show, in this case “look up” their details manually per above and ask them to check their email settings to allow images for next time.
- If someone arrives who has not RSVP’d, please get them to RSVP using the QR code on the Pull-Up Banner. Once this is completed it may take up to 15 minutes for them to receive their ticket on their phone. You can fast track this by manually searching for their name in the CodeREADr App.
- If they claim to have RSVP’d and you cannot find them in the ticket database, then ask them to RSVP again using the QR code on the Pull-Up Banner.
- If they have said they didn’t get any email confirmations, please ask them to check their spam/junk folders, or they can access this page to view all of their Tickets - https://developernetwork.com.au/your-tickets
- For all other issues / challenges then please fill in their contact details and nature of the issue onto the PDN Meetup Attendee Registration Issues form and inform them that the office will follow up during the week.
Other Helpful Info:
- We send an email reminder at the time someone RSVPs, and then we send a sequence of emails reminding them of the event (one day out and at 9am on the morning of the event), plus an SMS so they should be able to have this handy when entering.
Ticket Pricing:
- Casual $25 per event
- Annual Membership $250 per year
- 30-day Trial of Annual Membership - $1 then auto renews to Annual Membership for $250 in 30 days, but they can cancel before then if they do not wish to proceed.
